      1. Narrow Down a Party Theme

Depending on what time of the year it is and how many people you invite, you’ll want to begin the event planning process as soon as possible. 

Planning usually starts with deciding what type of party you’re throwing. However, if you’re short on time, you may want to pick a vision or theme that’s easy to pull off while incorporating a few unique details. 

After you’ve sorted out the basics, figure out your event’s budget. Keep in mind, you’ll need to account for the cost of your venue as well as any rental equipment or supplies. We also recommend leaving room in your budget for any unexpected expenses.

      2. Follow Up With Attendees

Once you iron everything out, you’ll need to send out invitations. If you don’t know how many people you expect to show up, have them send you an RSVP to help lock down a headcount. 

While this isn’t a necessity, we recommend sending out reminders a few weeks before the event — just in case anyone forgets! You should also check on vendors and confirm they can make it. 

      3. Outsource What You Can

• Diverse Rental Catalog - Browse the company’s rental options or talk to someone to see if their inventory fits your needs. While you’re at it, ask about their working process to see how involved it is. For instance, do you need to pay a deposit? Or how much does it cost to rent a dance floor? 
• Competitive Pricing - Renting party equipment is exciting, but you’ll need to figure out how much you can spend beforehand. Your first step should be finding a rental company that fits your budget. 
• Distinct Area of Expertise - You can usually tell how reliable a company is based on their experience, but you’ll also want to look at the types of events they service. Find a vendor that offers exactly what you’re looking for, whether that’s a particular style of tables and chairs or a light-up dance floor.

      4. Plan Ahead 

We know. Planning is easier said than done, but you need to get things squared away quickly. While it’s possible to throw a party together in a week or two, if you’re renting certain items, you’ll need to plan further ahead.

      5. Prepare Your Playlist 

No party is complete without music and dancing. Having a playlist ready beforehand can help get things moving. Whether you’re throwing a corporate event or a birthday party for a small group of friends, there are a variety of reasons why you should have an LED floor at your party. 

For one, renting a dance floor will encourage people to stay on their feet. You can also rent dance floors in a variety of sizes, but be sure to consider the size of your venue as well as your number of guests.

Speaking of sizes, as a general rule of thumb, we recommend having 4.5 square feet of space between guests and 9 square feet for couples. So, say you’re organizing a party for 150 people, you should expect at least half of your guests to be on the dance floor simultaneously. In this particular case, you need to rent a 20’ x 20’ LED dance floor.
